Planning your event – When, what & where?

When – Save the date, start & finish, set up & de-rig. Any event involves time management, scheduling and coordination of other people’s activity – such as catering, props/production, entertainment, venue hire & preparation.

What – Birthday, wedding, anniversary, christening, book or product launch

Where – Selecting a venue – you may be want to use your home and garden to host your event, or want to stretch a bit further and hire a venue? Selecting a venue may seem simple but the importance of finding the right venue should not be underestimated. This involves research, contract and cost negotiation and building working relationships.

Sourcing suppliers – every event involves a range of suppliers. From caterers to lighting, diverse suppliers need contacting, short-listing, negotiating costs with and finalising contracts. From there, efficient management of all suppliers, ensuring they fulfil their roles on time and within budget, is essential to the success of the event.

Working to a budget – We can work to most budgets and have experience working within strict budget management. Delivering a great event is easy with unlimited funds, but great management is required to produce an event within a constrained budget.

Communication – For the sake of a paper trail, all details regarding each event should be communicated by email. Should a conversation take place between Parkyparty Limited and the client, a follow up email will follow and confirmation of that email will back up

On the day – some events are complex and may require extra management. Parkyparty Limited will always have overall control on behalf of the client. Many elements contributing to an event means multiple possible points of failure. Understanding what the risks are, the likelihood of each one arising, strategies to minimise risk and developing a robust contingency plan in the event of problems is a non-negotiable task in event management.

Repeat business – making decisions in the event planning process that consider the social and environmental impact.
